The Private Investment and Institutional Operations (PIIO) department is responsible for providing administrative support for Fidelity’s High Net-Worth programs, Institutional Investments, and our Family Plan program, which we offer to our employees and their family members.  The team consists of highly professional individuals and commits to providing premium service to our clients and internal partners.  

How You’ll Make an Impact:

Position Overview

The Registered Dealer Specialist is registered as a dealing representative and Exempt Market Dealing (EMD) representative. The dealer specialist is responsible for administrating registered and non-registered accounts and executing transaction requests for Fidelity’s Family Plan; High Net Worth Program; Institutional (DB, DCIO); and Fidelity Corporate accounts in an accurate and timely manner.

Key Accountabilities

Execute trade requests for the following account types: Family Plan; Private Investment Program (PIP); Large Account Pricing Program (LAPP); Institutional and Corporate Accounts

  • Uncovers caller needs, communicates confidently, controls the call appropriately, professionally manages challenging situations
  • Processes all In-Good-Order (IGO) transactions by the end of the same day
  • Ensure all Not-In-Good-Order (NIGO) requests are communicated within 48 hours of receipt
  • Responsible to review all Quality Control items that are financial with same day resolution
  • Responsible to review all transaction financial and non-financial for Quality Control
  • Achieves established standards and targets as it relates to all team activities – call and email handling, problem resolution and transaction processing
  • Responsible to create a Salesforce case for every inbound interaction
  • Reviews Know Your Client (KYC) information and conducts suitability discussions for family plan members
  • Prepare, deliver, and assess investor materials for Exempt Market product
  • Provide investor support concerning all aspects of offering memorandum
  • Effectively assess investor suitability for Exempt Market product

Holds themselves accountable to internal and external policies to mitigate risk to Fidelity and its clients.

  • Applies risk management, ensuring compliance with corporate and industry/provincial standards and regulations when making decisions, suggesting solutions/providing information to clients or processing transactions and adjustments
  • Provides active follow up to all parties involved and escalates appropriately
  • Utilizes available resources to effectively manage client expectations.
  • Understanding of Mutual fund industry, regulatory and government rules
  • Ensure accurate documentation of EMD requirements by adhering to all corporate and regulatory policies
  • Understanding of investor subscription process for an Offering Memorandum
  • Ensuring suitability and compliance to regulatory requirements as part of onboarding process for prospective and existing investors

Continue to foster a culture focused on compliance, continuous improvement and risk mitigation by providing suggestions on identified issues and trends.

  • Identifies and submits continuous improvement ideas - achieving targets established by the team's manager
  • Work with Management and other business partners to implement system and process enhancements
  • Supports automation and digital initiatives as Subject Matter Experts to implementation

Acts as a mentor and partners with other Fidelity Investments Canada departments to address client queries and achieve case resolution

  • Client queries and issues are addressed within the established turnaround time standard.
  • Client satisfaction is achieved

What We Are Looking For:

Experience

  • 3-4 years of related work experience in the mutual fund or financial services industry (required)
  • Minimum 2-year transaction and/or adjustment processing (asset)
  • Inbound call inquiries experience (required)

Education:

  • Completion of College program or equivalent work experience
  • Strong communication skill in English (written & verbal) (required)
  • Strong communication skills in French (written & verbal) (Asset)  

Designations, Licenses, or Accreditations

  • Completion of Canadian Securities Course is required (course needs to have been completed in the last 3 years or recently registered as a dealing representative) is required
  • Branch Manager Certificate is encouraged

This role requires registration with one or more securities regulators.  The incumbent must meet all background investigation requirements, including but not limited to, education, credit, litigation and criminal checks, as required by securities regulators. Continued employment in this role is also contingent upon you meeting the on-going registration requirements.

10.Relationship management - proven experience in building and managing relationships with clients

11.Research skills to evaluate investment offerings, assess risks, and understand associated operations aspects for EMD products

12.As an EMD representative, demonstrating ethical conduct, integrity and professionalism is vital to maintain client trust

13.Remain current on industry trends, new investment products and regulatory changes committing to ongoing learning and professional development as an EMD representative
