We’re looking for a Receptionist Supervisor to join our Facilities management team! You will work with a JLL team managing a 1.3 million sq ft client corporate headquarters in Sunnyvale, CA!

Location: Sunnyvale, CA 94085
Schedule: On-site, M-F 8:00 AM to 5:00 PM (extended workdays & weekends as needed)
Reporting To: Experience Services Assistant Manager

Estimated compensation: $33.65-$36.06 an hour

What this job involves:

The Receptionist Supervisor is responsible for delivering exceptional client experience every day through enhanced engagement, proactive communication, and high touch service within a select portfolio of properties. The Receptionist Supervisor will be expected to increase the level of engagement and partnership between JLL and our clients to provide superior service delivery while enhancing their individual personal and professional skills. This client facing role provides the opportunity to combine your passion for service, brilliant people skills and enthusiasm for creating a hospitality focused workplace environment.

What your day-to-day will look like:

Responsibilities

  • Serve as an onsite Reception Services contact for employee inquiries, issues, troubleshooting, and feedback related to the services within the workplace, with the primary goal of positively impacting the care and comfort of client employees and guests
  • Recognize opportunities in the workplace experience and creates programming to reduce friction for client’s employees
  • Provide customer service to the client by carrying out safety and security procedures, building-specific policies and when appropriate, emergency response activities
  • Respond to incidents and critical situations in a calm, problem solving manner
  • Ensure team abides by rules, regulations, and policies that are provided by client.
  • Promote safety awareness to reduce accidents by providing training as required
  • Equip and inspire the Experience Services team to meet and exceed client expectation by fostering a positive work culture and strong team dynamic  
  • Performance manage by conducting regular 1:1 reviews with each team member to provide feedback, coaching, concerns, and recognize exceptional performance  
  • Ensure services are executed in a timely manner with consistent SLA’s, standard processes, professional brand image, and compliant with applicable local laws, rules, and regulations
  • Leadership responsibilities include but are not limited to functions such as on-boarding, timekeeping, delegating, scheduling, and teambuilding
  • Empowered to make operational adjustments as necessary, develops and documents standard operating procedures and updates playbook accordingly
  • Briefs leadership on key local developments and seizes opportunities to play a role in the execution of the client workplace strategy    
  • Supports data collection, analysis and reporting to ensure alignment with the clients’ goals and objectives

Ensuring Exceptional Service

  • Builds meaningful lasting relationships with client employees and guests for intuitive service delivery, anticipating needs or concerns to exceed client expectations
  • Receives and responds to all requests or issues within a specific period, including a personal follow up to client employees to ensure timely responses to questions/requests
  • Identify potential risks and escalate, as appropriate, to ensure no privacy breech, security incident or disruption to client’s operations occur
  • Provide operational excellence through administrative support as well as work order management
  • Perform additional job duties, as requested 

Required Skills and Experience:

  • High School Diploma or equivalent
  • Associates degree in a related field or 9+ years of relevant work experience
  • Seven (7)+ years of proven work experience in customer service, concierge, hospitality, or commercial real estate management
  • Four (4)+ years of proven people management/supervisory work experience
  • Exceptional customer service skills and professionalism with a passion for hospitality
  • Familiar with Security and Safety awareness
  • Highly collaborative with strong interpersonal skills and track record of excellent internal and external customer service
  • Excellent verbal and written communication skills with the ability to communicate professionally
  • Excellent organizational skills and process management
  • Ability to work independently – strong prioritization and time management skills
  • Ability to work with diverse teams – lead by example; respectful, cooperative, accountable
  • Ability to manage multiple priorities and deliver results in a fast-paced environment
  • Ability to quickly adapt to new devices, technology, and applications
  • Proficient in Microsoft Office Suite (Teams, Excel, PowerPoint, Word, OneNote, Outlook)
  • Ability to work a varied schedule to support the needs of the business, including frequent extended workdays, weekends

Preferred experience and skills: 

  • Bachelor’s degree in a related field
  • Previous experience of working within a high profile corporate headquarters environment

Estimated total compensation for this position:

70,000.00 – 75,000.00 USD per year
