JOB PURPOSE SUMMARY
Under the general direction of the Director of Operations, this position will provide daily support for branch offices and Director of Operations. The Operations Specialist will be responsible for using available resources appropriately to ensure all aspects of service and support to branches and their clients are fulfilled accurately and timely while maintaining OneDigital Investment Advisors and Broker/Dealer compliance standards.
KEY RESPONSIBILITIES AND DUTIES
New Account Set-Up & Database Maintenance
Complete set-up of new accounts within the portfolio management database
Create, update, and maintain accurate and timely documentation in ticketing system
Update and maintain accurate and timely documentation in the reporting and billing system
Calculate refunds due to clients
Assist with administrative duties as needed:
Create and update documents, spreadsheets, and presentations
Assist with answering phone calls
Print and prepare mass mailings
Provide other general administrative and clerical duties including faxing, filing, and document scanning
Miscellaneous office duties
Act as a system admin for users of custodial and portfolio management software
Assist Director of Operations with daily, weekly, and monthly audits
Act as a resource regarding best practices, policies, and procedures as it relates to the RIA and its branches
Work in conjunction with team members to evaluate, develop, and implement reporting solutions, procedural changes, or other projects as needed
Take lead on various ad hoc projects
Provide technical support for Wealth Management specific systems
Communicate with custodians, software providers, branch offices – including principals, advisors, and staff
Adhere to compliance standards and Code of Conduct of OneDigital Investment Advisors and Broker/Dealer as described in compliance and operations manuals
Develop, maintain, and audit procedures relating to the systems and processes used by the OneDigital Retirement + Wealth team and branch offices
Collaborate with Director of Operations by constructively contributing to evaluation and training of OneDigital’s internal staff and branch offices
JOB STANDARDS
Education/Experience:
Bachelor’s Degree in Business Administration, Accounting, Finance, Economics, or related concentration preferred
2-5 years business experience required, preferably in management of processes in investment industry
Experience with Schwab, Fidelity, and/or TD Ameritrade platforms a plus
Experience with Orion Advisor Technology or similar platform (Tamarac, Black Diamond, etc.) a plus
Skills:
Critical attention to detail and accuracy essential
Writes, speaks, and presents clearly and succinctly across a variety of communication settings and adjusts communication style to audience
Excellent customer service skills
Excellent interpersonal communication skills, including heavy telephone and email communication
Good organizational and time management skills; ability to prioritize multiple tasks
General office equipment
Computer skills in Microsoft Suite, SalesForce, and Smartsheet
Judgment and problem-solving skills-based application of advanced or technical concepts are predominantly required
Demonstrate initiative to address issues outside standards
Generally works independently
Knowledge:
Full knowledge and understanding of basic investment terms and account types
Special Requirements:
Regular and predictable attendance is required
Primarily sedentary work
Visual acuity for computer work and written documents
Ability to hear in order to converse via telephone and in person
Access to highly confidential personnel and financial data
Ability to talk to people about sensitive subjects (money, family, death, etc.)
Travel:
Travel is limited to occasional industry conferences, 1-3 times per year.
Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance.
