Job Summary:

To assist and coordinate the activities of the university physicians ambulatory access center in order to establish market driven customer support, supervision of access and scheduling staff, and facilitate personal positive relationships with the general public, patients, referrals and university physicians, and university medical center through the provision of exemplary customer service.

Education & Experience

Education and Experience Required:

Bachelor’s degree and three (3) years of patient scheduling or clinical operations experience, including at least one (1) year in a supervisory role.

Knowledge, Skills, and Abilities:

Knowledge of call management center operations. Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, and coordination of people and resources. Skill in the use of personal computers and call center software and hardware. Verbal and written communication skills. Interpersonal and problem resolution skills. Ability to coordinate, direct and evaluate operational activities.


Responsibilities:

  • Assist in the design, establishment, and the maintenance of an organizational structure and staffing to accomplish customer service goals and objectives; supervises employees to include work allocation, scheduling, training, evaluation, and problem resolution.
  • Collaborates in the preparation of the annual operating, capital, and information technology budgets; monitors expenditures, implements cost containment measures, and directs expenditure reductions as necessary.
  • Collaborates with the director to develop quantitative goals and objectives for developing customer-service culture for University of Mississippi Healthcare; monitors and evaluates programmatic and operational effectiveness through needs assessments, utilization statistics, and cost/benefit analysis and recommends changes as necessary.
  • Collaborates in the organization and monitoring of the department's call management process; interfaces with information systems and telecommunications departments and/or outside vendors to troubleshoot and resolve system and software problems.
  • Assists the director in the liaison with all levels of administration, physicians, and other affiliates to improve or expand services and to facilitate the resolution of problems; develops measures to inform and educate internal and external customers of available departmental services.
  • Works with the director and assists with implementation of a two-way communication system to increase employee satisfaction; creates a culture of ownership through an understanding of University of Mississippi healthcare goals and objectives.
