BioMed Realty is seeking a highly organized and detail-oriented Property Coordinator to support our operations team. In this role, the Property Coordinator will assist with the financial and accounting activities related to property management, maintenance, and construction operations. The position will also provide clerical and administrative support to ensure the efficient day-to-day functioning of the operations team.

The ideal candidate is proactive, collaborative, and capable of managing multiple priorities while supporting operational and financial processes across the portfolio.

What You’ll Do

  • Assist with overseeing and coordinating operations, maintenance, construction, financial and accounting related activities associated with commercial and lab tenants.
  • Such duties will include, but not be limited to, purchase order generation, tracking, invoice coding, approvals, management of accounts payable and receivable for property level activity.
  • Assist in preparing budgets, timelines and plans to meet operations requirements.
  • Answer telephone, screens calls, transfer callers to voice mail, or take messages to facilitate communications and contacts.
  • Maintain knowledge of key clients and contacts. Set up and maintain files, materials, information, schedules and related data.
  • Coordinate contractor work in common areas with all stakeholders including engineering, security, loading dock, etc.
  • Manage and track Certificates of Insurance for tenants and vendors/contractors.
  • Create work orders in Building Engines as needed for contractor escorts and tenant complaints such as hot/cold calls.
  • Assist with notifying and coordinating Landlord’s planned maintenance with tenants.
  • Assist with preparing and distributing correspondence, packets, and related information related to property management, accounting and financial activities and operations. Assist with assembling and analyzing contract bids.
  • Assist with progress and performance reports.
  • Run MRI contract status reports and process new vendor setups.
  • Track sustainability initiatives and statistics including waste diversion and utility consumption.
  • Represent the company to outside agencies and organizations.
  • Perform related duties as assigned by supervisor.
  • Maintain compliance with all company policies and procedures.

Experience & Qualifications

  • Demonstrated experience assisting with real estate, property management, or accounting-related activities.
  • Accounts payable and receivable activity, purchasing invoice coding with additional clerical support responsibilities.
  • An AS/AA degree or an equivalent combination of education, training, and experience is required; coursework from a technical school or college in real estate or property accounting is a plus, along with strong comfort and proficiency working with numbers.
  • Computer proficiency with Word, Excel, Outlook and MRI experience a plus.
  • Requires strong verbal and written communication skills and effective organizational and problem solving skills.
  • Self-initiator with the ability to problem solve.
  • Requires a friendly, approachable demeanor, the ability to manage competing priorities, and strong relationship-building skills with staff, vendors, contractors, and tenants.
  • Must be able to work with interdepartmental offices within the organization.
  • Must be organized and task oriented, able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities.
  • Ability to draft and write detailed notes, communications to tenants, vendors, and contracted firms to prepare reports and presentations, and technical information.
  • Detail-oriented with strong verbal and written communication skills, able to convey information clearly and concisely.

Compensation: $28.00 - $35.00 per hour ($58,000 - $73,000 base per year)  + bonus + benefits

The above represents the expected salary range for this job requisition. Ultimately, in determining pay, we’ll consider location, experience, and other job-related factors.
