Implement end-to-end payroll processes and services, including payroll programs, initiatives and operations. Contribute to payroll insight and solutions, payroll calculations, compliance and delivery.

Specific requirements

  • Manage payroll related tasks, in order to carry out salary payments in a timely and precise manner
  • Time report maintenance and input preparation and documentation
  • Payroll output files verifications for payroll process
  • Assist internal and external audits related to payroll
  • Executing the internal controls related to the payroll and salary review processes
  • Provide support for employee inquiries/escalations on payroll related topics
  • Actively participate in process improvement initiatives
  • Prepare reports to cross-departmental teams and leadership
  • Track monthly payroll performance issues and risks
  • Mitigate payroll operations risks and issues.
  • Expected to be knowledgeable about own work (responsibilities and metrics) and the work performed by their immediate team
  • Typically receives direction and feedback from their supervisor or specialist colleague on setting priorities or assigning and managing tasks on a weekly/monthly basis
  • Expected consequences for mistakes in their work would include missing personal or team deadlines and may be escalated to their direct supervisor
  • Involved in risk mitigation decisions for their immediate team
  • Responsible for decisions made about their own work and may contribute to their immediate team's decisions
  • Expected to provide solutions to own problems and for those of their immediate team
  • Provided guidance and instructions to help them complete complex activities
  • Breadth of responsibilities extends to own/their immediate team's projects/work efforts
  • Typically has frequent exposure up to higher levels and expected to do the following in meetings:

General requirements

  • Update and maintain various systems/tools per standard process documentation
  • Execute transactions with minimal direction, enter data and retrieve information from group specific system (new employees initially require supervision or support)
  • Audit own data entry for accuracy and applying the necessary corrections
  • Conduct data verification to ensure the required result
  • Respond to various requests for information, as needed.
  • Escalate to supervisor as appropriate
  • Produce standard correspondence by following existing templates.
  • Adhere to client formatting and quality standards.
  • Proof and edit work for grammar, syntax, and punctuation to ensure professional and ethical communication.
  • Respond to information requests by searching, summarizing research results and compiling in requested format
  • Follow established policies, procedures and methods
  • Participate in process improvement initiatives or special projects as assigned
  • Meet established goals and objectives.
  • Meets metrics communicated by direct manager.
  • Document all new learning(s) or change in processes in the standard format and seek relevant approvals on a periodic basis
  • Perform data entry and research own work results
  • Applies knowledge on processes and related systems
  • Participates in training new colleagues
  • Participates in periodic exercises of calculating the working time for adjusting / monitorization.
  • Completes tools and trackers for monitoring the working time and the activities related to the process and report them to the direct manager
  • Executes tasks in an ethical manner and objectively evaluates the consequences that a certain action might have on others
  • Efficiently interacts and collaborates with the team members to complete the tasks that are interdependent
  • Specific role metrics are detailed by direct manager through company-specific instruments (ex. email, performance achievement system)

Qualifications:

  • Solid experience in end-to-end payroll processing for Portugal, including statutory reporting and compliance with local labor and tax laws.
  • Experience with SAP HCM and SuccessFactors, especially in payroll and time management modules (mandatory)
  • Strong analytical and numerical skills
  • Experience working in a shared services or BPO environment is a plus
  • Familiarity with HR processes and systems integration, especially how payroll interacts with time tracking, benefits, and employee master data.
  • Bachelor's Degree
  • At least 3 years of relevant experience
  • Portuguese proficiency required (minimum C1 level)
  • English proficiency is a plus
  • Work from home role (there may be the need to go to the office in specific situations)
