Summary of the Position:
The Facility Coordinator will report to the General Manager and provide support to Hearst Tower, The Sheffield and The Bronx Warehouse. They will be responsible for delivering outstanding customer service and supporting the Property Management Office to provide seamless day to day operations. The successful candidate will have an eye for detail and follow through.
Key Responsibilities:
Actively manage the relationships with vendor community, customers, and TSP management as necessary to ensure the assets achieve maximum value.
Analyze and monitor preventative maintenance contracts for scheduling, performance specifications, expirations and opportunities for savings. Confirm work is being completed in accordance with contracted timeline
Communicate continually with General Manager and Operations Manager to apprise appropriate individuals of issues/decisions impacting the building.
Assist in developing quarterly operational report.
Determine specific service contract requirements, develop scope of work, solicit bids, evaluate proposals and monitor contract performance for all service vendors.
Review nightly and weekend access memo reports with CSC to control all work in building.
Coordinate building projects with appropriate staff and vendors.
Day to day contact, issue resolution, and general dealing with tenant representatives.
Spot check areas following preventative maintenance and pest treatments to ensure satisfactory completion.
Review weekly events schedule for scheduling conflicts and coordinate with appropriate team members to ensure work is properly scheduled.
Periodic review and update of Angus to reflect changes made within client database.
Draft correspondence to tenants regarding building issues and events.
Assist with financial management for property including Baseware sorting, ATPS, Exiger and new vendor set-ups.
Update floor by floor key contact email lists.
Assist CSM with accounts payable and accounts receivable for the property, focusing on purchasing controls, contracts, approving bills, reviewing tenant miscellaneous charges and monthly accruals.
Provide monthly list of non-contracted budget expenditures, purchase orders and un-budgeted one-off expenses, and confirm with appropriate team member on timeline and need.
Skills & Qualifications:
Bachelor’s degree required
Prior experience in a property management capacity
Financial experience, including costs, budgets, executing contracts, service contracts, arrears.
Ability to understand and communicate in English, both verbally and written.
Ability to travel between floors and buildings in order to effectively communicate
Knowledge of the budgetary process as it relates to operating expenditures
The base compensation range for this role is $60,000 to $75,000. This role is also eligible for a discretionary annual bonus, as well as access to our comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits and all other benefits afforded to full-time Tishman Speyer employees.
This base range reflects a number of factors including, but not limited to, relevant experience, skill sets, and/or licensure required of an individual in this particular role. The base range is also specific to members of Tishman Speyer’s New York team, as we’ve considered factors specific to this geography.
