Job Description Summary:

This position assists in the operational support and coordination of the assigned area(s).

Qualifications:

  • Minimum of one (1) of the following required as applicable to assigned area(s):
    • Minimum of two (2) years’ experience in administrative role.
    • Minimum of two (2) years’ experience in a medical setting.
    • Minimum of two (2) years’ experience in a similar role.
    • Minimum of two (2) years’ experience in customer service, reception or retail.
    • Minimum of two (2) years’ experience in a bookkeeping or accounting role.
    • Minimum of three (3) years’ experience in a professional print shop setting.
    • Previous healthcare, research, compliance or equivalent experience.
    • Post high school education or vocational training in healthcare.
  • Additional requirements as applicable to assigned area(s):
    • Possess an understanding of medical terminology.
    • Current CPR.
    • Possess knowledge of rules and regulations pertaining to Medicare, Medicaid and other payer types.
    • Current Notary Public certification.
    • Possess knowledge and understanding of: medical terminology/abbreviations, ICD-9, ICD-10, CPT and HCPC coding, and fundamental knowledge of basic medical billing procedures.
    • Demonstrated ability to design forms utilizing publishing and forms software.
    • Demonstrated ability to operate high speed duplication, drill press, paper cutter and laminating machines.
  • To be eligible for the Driver portion of the position: 
    • Current Driver’s License required. 
    • Driving record for the previous thirty-six (36) months must not reflect any major driving offenses (i.e; DUI, convicted of a felony involving a motor vehicle, suspended license, three (3) or more speeding tickets or other moving violations, etc.).
    • In addition, personal vehicles used for LH business:
      • State law minimum liability coverage limits required.
  • Possess an understanding of the confidentiality laws that govern the provider-patient relationship, including but not limited to HIPAA guidelines.
  • Excellent organizational skills, detail-oriented, a self-starter, possess critical thinking skills and be able to set priorities and function as part of a team as well as independently.
  • Commitment to working in a team environment and maintaining confidentiality as needed.
  • Excellent verbal and written communication skills including the ability to communicate effectively with various audiences.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Possess and maintain computer skills to include working knowledge of Microsoft Office Suite and ability to learn other software as needed.

Job Specific Duties:

  • Acts as the main point of contact and resource for staff per department protocol and as applicable to assigned area(s). 
  • Provides senior level administrative and technical support for assigned area(s) in an organized and accurate manner according to policies and procedures. 
  • Assists leadership in maintaining effective and efficient departmental operations, supports financial and operational performance, and regulatory tracking per department protocol and as applicable to assigned area(s). 
  • Coordinates and communicates the flow of activity, information, timelines, and daily operations for the assigned area(s). 
  • Accurately and timely compiles and presents reports per department protocol and as applicable to assigned area(s). 
  • Exhibits senior level knowledge and understanding of policies and procedures as they relate to the assigned area(s) and Logan Health. 
  • Develops, maintains, and oversees a record-keeping system per department protocol and as applicable to assigned area(s).  
  • Assists leadership with budget preparation, coordination, provides review and analysis per department protocol and as applicable to assigned area(s).
  • Assists with developing and supporting of tracking metrics to support leadership with oversight of effectiveness and supports strategic decision making regarding transitions and growth as applicable to assigned area(s).
  • Provides oversight in documenting and documentation collection as applicable to assigned area(s).
  • As applicable to assigned area(s); coordinates credentialing, licensing and other regulatory requirements per department protocol; exhibits overall knowledge of claims and authorization processing for insurance companies including private, commercial and government carriers.
  • Assists with check requests, reimbursement, processes invoices and assists with other financial tasks and tracking as applicable to assigned area(s).
  • Proactively anticipates and prepares multi-faceted priorities, agendas and schedules as applicable to assigned area(s).
  • Consistently sets priorities resulting in the assigned area(s) functioning in an efficient and orderly manner.
  • Assists assigned leadership in the coordination of staffing, daily schedules, low census, and/or communication as applicable to the assigned area(s).
  • As applicable to assigned area(s): Responsible for understanding billing, collections, insurance verification, tracking authorizations, maintaining medical records, etc.
  • Provides training and orientation of new employees per department protocol and as applicable to assigned area(s).
  • Performs data entry and tracking of information as applicable to assigned area(s).
  • Coordinates appointments/meetings to include meeting agendas, and transcription of minutes as applicable to assigned area(s).
  • Exhibits a commitment to professionalism while undertaking all tasks and in all interactions.
  • Performs quality control on finished jobs to ensure delivered product meets standards and customer expectations as applicable to assigned area(s).
  • Assists with various department activities as requested and provides backup coverage for other support staff as applicable to assigned area(s).
  • Responsible for ordering office supplies and maintains a consistent inventory as applicable to assigned area(s).

Logan Health operates 24 hours per day, seven days per week.  Schedules are set to accommodate the requirements of the position and the needs of the organization and may be adjusted as needed.
