DISTRIBUTION ASSISTANT
Primary responsibilities/essential functions:
Liaise with relationship managers and client relations associates to schedule meetings for new business pitches, consultant meetings and client review meetings and maintain electronic calendars
Pro-actively handle incoming queries; helping where appropriate; passing onto the relevant associate/department in a timely and accurate fashion
Coordinate travel arrangements and expense reports
Manage faxes, reports, incoming mail and maintain up-to-date file records
Assist with preparation of reports, including preparation of charts and tables, gathering data from other applications and conducting basic research
Collate and prepare materials for client/ consultant meetings from the Intranet and the Marketing Database
Assist relationship managers in maintaining the CRM data base and keeping activity and contact notes timely and up to date
Work with relationship managers on follow up from client and prospect meetings - often working closely with client relations associates in this process Assist in preparation for Requests for Proposals, Questionnaires and tenders
Assist in special department projects
Prerequisites:
Good academic qualifications with at least 3 years of secretarial/ administrative support experience in financial services industry
Proactive, organized, detailed-oriented and self-motivated individual with the ability to multi-task
Flexible team player that can work in a fast-paced environment with enthusiasm and willingness to take on additional responsibilities
Excellent verbal and written communication skills
Exceptional interpersonal skills as well as strong service orientation
Strong technical skills with an advanced knowledge of spreadsheets
Computer proficiency using MS office (Word, Excel, PowerPoint, Outlook) and web-based databases
In addition to a highly competitive base salary, per plan guidelines, restrictions and vesting requirements, you also will be eligible for an individual annual performance bonus, plus Capital’s annual profitability bonus plus a retirement plan where Capital contributes 15% of your eligible earnings.
