GCG is seeking a Finance Assistant (Inventory) to ensure the integrity of inventory data for the Group of Companies by accurately generating and recording accounting entries consistent with the policies, procedures and objectives of the Group

Requirements

To coordinate and supervise stock checks, periodic physical counts and fixed assets audits.

  • Stock Sheets are generated for all entities, prior to stock count.
  • A stock roster for accounts/admin staff is compiled for all end of month stock counts.
  • All parties are trained on their role in the stock counts.
  • Enter stock counts into the inventory program by the following day after the stock count
  • The inventory variance reports are generated and circulated by the 2nd day after the stock count
  • All variances as a result of the stock checks and physical counts are reconciled
  • All Variances above the required limit are reported to the Accountant and Finance Manager and investigated within 2 working days.
  • To ensure no internal audit/management letter points relating to the stock count.

Responsible for recording the day-to-day inventory transactions.

  • All inventory receipts are processed in the inventory systems (Adagio, Inflair & FoodTrak) by next working day.
  • Authorized transfers are keyed/updated into the appropriate system (Adagio, Inflair & FoodTrak) by next working day.
  • Confirm that all goods requisitioned were checked off at each location as received and in good condition. Ensure discrepancies in receiving are corrected.
  • Adjustments are done for all authorized spoilage and expired stock by end of 10-day period.
  • Accurate filing is done on a daily basis so as to be constantly up-to-date.

To assist in reporting on production targets, inventory and stock levels.

  • Assistance is given to the storeroom in monitoring stock levels
  • To provide weekly and monthly stock usage reports, by the 2nd day after the stock count.
  • To assist in the tracking of the daily production costs; based on flights, events, sales etc.
  • To generate reports required to generate the flash reports and the end of month Cost of Goods Sold value        

To maintain accurate records of non-food Inventory

  • To maintain up-to-date Keep a record of all inventories
  • Monitor items as they are requisitioned and returned
  • Ensure that all items that have been issued have been returned
  • Update inventory as necessary.
  • Keep a record person requisitioning and returning items
  • Record any issues with items and report to management team

Qualifications & Skills

  • A Bachelor’s Degree in Accounting/ Management or in a related discipline from an accredited institution or Associate Degree in Accounting.
  • Minimum 3 years of accounting experience.
  • Diploma or Certificate in Inventory Management an asset
  • Excellent data entry, numerical, analytical skills and financial acumen.
  • Excellent written and verbal communication skills.
  • Attention to detail and focus on accuracy
  • Advanced working knowledge of MS Office suite
  • Knowledge of Adagio or a similar account package is desired.
