THE ROLE

The Manager, Special Events Sales & Planning, will assist the Director, Special Events, with the development and management of sales and operations for special events at One World Observatory. This role will be responsible for supporting all activities within the special events department. Focusing specifically on soliciting business in the corporate and social markets to increase and maximize revenue, as well as detailing and managing events.  The ideal candidate will have established contacts in the corporate and social markets to rely on while building a solid book of business. This individual is a collaborator and problem-solver with a strong work ethic and leadership skills who understands that customer satisfaction and enhancing revenue is key.
 

ESSENTIAL DUTES AND RESPONSIBILITIES

  • Proactively solicit new business by, among other things, making sales calls, attending trade shows, and engaging in other client prospecting to increase the size of the organization’s client database
  • Remain aligned with developing and discovering new avenues and methods of capturing new business within the corporate and social market
  • Qualify leads, draft proposals and contracts, capture client payments
  • Monitor changes and new developments in the special events industry
  • Work closely with OWO staff, catering staff and vendors to plan and execute client events
  • Manage the events calendar, conduct site visits and be the primary contact for clients
  • Prepare and provide required documents and reports for the Director, Special Events including but not limited to banquet event orders, revenue reports, prospect/tentative/turndown reports and sales recaps
  • Obtain feedback from clients following each special event to determine and analyze client satisfaction, organizational performance, and event-related risks and liabilities
  • Serve as the main point of contact for clients to facilitate all the logistics associated with a Special Event at Aspire
  • Manage and maintain event communication with supporting departments (i.e., IT, operations, cleaning, engineering, security, culinary, etc.)
  • Create exceptional guest experience by delivering a high level of service and ensuring all staff engage guests to understand their needs and exceed expectations
  • Attend weekly Event Order meetings
  • Manage One Dine group and private dine business and ensure client satisfaction and venue feasibility
  • Liaise between the events and marketing team to develop marketing programs and initiatives that help revenue growth and exposure (i.e., email blasts, social media posts, etc.)
  • Lead venue collateral and asset updates and ensure information is correct and aligned with the current venue’s offerings
  • Complete other duties as assigned by management

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE     

  • Bachelor’s degree (Marketing preferred) or equivalent combination of education and related experience and/or training
  • 2-5 years of management experience in Catering, Banquets, Events or Hospitality
  • 4 or more years of event sales experience required – preferably in NYC

SKILLS AND ABILITIES

  • Resourceful, innovative and forward thinking, with an entrepreneurial spirit
  • Working knowledge of local and regional markets, venue operations, and special events industries
  • Excellent interpersonal and communication skills
  • Excellent computer skills, including proficiency in spreadsheet, database, CRM and word processing programs
  • Must be able to take direction and delegate responsibilities and possess strong organizational skills
  • Familiarity with P&L reporting
  • Willingness and drive to exceed the guest expectations
  • General knowledge of competitive set in market
  • Ability to work in a fast-paced environment and manage multiple tasks simultaneously
  • Ability to effectively evaluate risks and liabilities of special events
  • Ability to work nights, weekends and holidays as necessary
  • Ability to communicate effectively with other departments, staff and guests

COMPENSATION

Competitive salary range of $70,000 - $73,000 plus commission, commensurate with experience, and a generous benefits package that includes medical, dental, vision, life and disability insurance, paid vacation, and 401k plan.
