Key Position Details:

As a Specialty Manager - Surgical Specialties, you will lead the plastic surgery, colorectal surgery, and urology departments across Allina Health. This will include oversight of physician practice management, daily operations, program development and strategic planning.

This hybrid position offers the flexibility to work remotely while also requiring occasional on-site presence at The Allina Commons and various Allina Health surgical specialty sites.

Job Description:

Collaborates with dyad partner(s) in the shared accountability for specialty care performance. Manages multiple specialty care departments within region or across system. May be responsible for both ambulatory and inpatient provider practice. Has system-wide responsibility for strategic initiatives impacting multiple areas.

Principle Responsibilities

  • Leadership (of staff and providers).
    • Acts as point person for assigned program across Allina Health addressing operational, program development and access needs.
    • Partners with service line leadership to recruit, select and on-board staff, leaders and providers for region.
    • Manages staff and leaders' performance.
    • May have managers reporting into this role.
    • Works with clinician leader or dyad partner to communicate and engage staff, leaders, and providers in key initiatives.
    • Ensures staff are appropriately trained and operating within scope and at the top of their licensure/role.
    • Ensures staff and providers have equipment, tools and resources to do their work.
    • Maintains an understanding of daily functions to ensure delivery on all accountabilities and tasks.
    • Identifies and communicates needs and/or changes that affect the work and escalates concerns as appropriate.
    • Analyzes and acts on employee engagement data.
    • Works with leaders to ensure staffing needs are met, making adjustments when needed.
    • Oversees development of service line wide patient education, marketing and external web content.
    • Role model and mentor poise, presence, positive change influence.
    • Communicates with and engage leaders and staff in key initiatives by sharing a clear, compelling vision that allows them to see their contribution and role in the work to ensure continuous improvement.
    • Works with staff and physicians to develop and implement objectives for the provision of safe and effective patient care.
    • Works with leadership on outreach schedules and access, equipment standardization, quality improvement initiatives and staffing models.
    • Works with leadership on coordinating provider hospital schedules and work, as applicable.
    • May act as a liason between hospital and clinic operations.
    • Evaluates the effectiveness of policies and procedures and make recommendations for change.
    • Understands and applies change management and improvement methodology.
    • Partners with dyad partner to leverage care integration strategies and ensure seamless patient care.
    • Skilled in the development of leaders to manage staff and performance issues, when applicable.
    • Identifies and acts on opportunities to improve patient experience. Leads new patient experience initiatives. Ensures staff and providers have knowledge of and access to patient experience feedback and initiatives.
    • Empowers and trains staff to resolve patient concerns and create a mindset of service recovery. Addresses service line patient concerns that are escalated.
    • Partners with lead physician to deliver results on provider patient experience performance.
    • When applicable, partners with independent contractors and providers to meet operational needs while supporting relationship between both parties.
  • Strategic and Program Planning.
    • Leads business and operational planning as new programs and services are offered under the service line. Leads operational plan as access expands/changes to new locations across the system.
    • Develops new clinical service line programs and services.
    • Implements growth plans across the system.
    • Sets up new program sites across the region or system.
    • Develops and executes strategic planning and business development for programs across the region or system.
    • Provides oversight for the implementation of new programs across the region or system.
    • Collaborates with leadership to plan, implement and manage operational initiatives and tactical plans, tracking operations performance against key performance indicators.
    • Reviews and analyzes dashboards and reporting templates to highlight performance, including variances.
    • Develops business plans for new programs, services and markets and enhances existing programs in order to grow the local market share.
    • Manages relationships with leaders, physicians, and external partners to gain confidence and engagement in strategic and operational initiatives.
    • Participates in decision-making activities with executive management, internal and external stakeholders.
  • Collaboration and Team Work.
    • Seeks opportunities to promote development and growth as a leader including meeting facilitation and representation locally, and across the system and Allina Health Group.
    • Shares best practices within region and across business units.
    • Models and promotes collaboration within business unit, between depts./staff/providers, and patients / customers to achieve results and improve performance.
    • Overcomes barriers, creates internal and external relationships to meet both company and community needs.
    • Ensures staff and key stakeholders are involved in timely communications and information sharing.
  • Financial.
    • Accountable for management of specialty program’s financials, managing operating expenses, and productivity for overall program performance across Allina Health.
    • Proactively reviews reports to assess and problem solve to align operating expenses and productivity.
    • Identifies and plans for future capital needs and growth in partnerships with service line leadership.
    • Ensures proper revenue cycle management workflows are in place and maintained.
    • Collaborates with dyad partner to manage provider productivity.
  • Safety, Risk Management and Compliance.
    • Accountability with dyad partner to lead and develop a culture of safety and focus on High Reliability Organization.
    • Ensures adherence to all safety, risk, and compliance policies and procedures.
    • Ensures program accreditation and regulatory requirements are met, when applicable. Actively participates in regulatory audits when need arises.
    • Responsible for ensuring any regulatory and accreditation expectations have been met.
    • Sets standards for practice management and ensures they are implemented across locations.

Required Qualifications

  • Bachelor's degree in business or healthcare, or related field
  • 5 to 7 years of leadership experience with 7 years of healthcare operations experience.
