Your New Role...
The Real Estate Operations Lead is a multifaceted role that spans across budget management, real estate capital projects and operations, client relations, business analytics, lease portfolio administration and general support for the SVP – Head of International Real Estate and Facilities, and the International Real Estate team. This role will operate on an international scale (APAC, EMEA and LATAM - excluding North America).
Your Role Accountabilities...
Liaising with GRE Finance teams, working closely with Budget owners across WBD International Real Estate Portfolio; management of International Facilities and Real Estate CapEx and OpEx Budget evaluation, with the aim of streamlining the budget process and identifying potential improvements/savings opportunities
Support Capital Real Estate projects through budget and finance review, requesting new CapEx Project codes and IO numbers, creating POs when needed and setting up new vendors
Primary Point of contact for WBD International lease documentation, tracking lease changes and portfolio updates in APAC, EMEA and LATAM working closely with the head of Real Estate and Facilities for each Region in collaboration with internal partners/COE for lease admin and accounting and provide data analysis and reports when needed
Support Capital projects across International, reviewing Capital Expenditure, project status, and assisting with project administration including presentations of quantitative and qualitative information
Work as part of a team across the business and relevant third-party suppliers to identify requirements and complete analysis of projects and reports
Coordinate relationships with IT/AV, Security, and stakeholders across the business to collaboratively achieve project deliverables
Closely monitor workspace planning/allocation and advise on changes that may impact the success of Agile Working
Provide direct-line management support to the SVP including acting as point of contact for all internal and external contacts, clients, and service providers
Diary management for the SVP including scheduling, organising and co-ordinating meetings and facilities and providing any relevant information (i.e., Monthly International office managers call etc.)
Make travel, transport, and hotel arrangements, arrange travel itineraries, and manage logistics of any participating travel/immigration/frequent flyer/traveller schemes for SVP
Prepare, submit, and track monthly expenses claims
Administrative and business support to SVP and International Facilities and Real Estate team
Key liaison between International Real Estate & Facilities team and wider organisation to advise on communications and client relations strategy, providing guidance and direction to wider team on tactics and cultural sensitivities
Take ownership of client-facing communications and activities, including drafting presentations for SVP, managing, and guiding staff engagement efforts and providing support for International Real Estate and Facilities customer-facing information on the WBD Portal/other platforms
Make positive contribution to GRE projects with strategic and analytical thinking, problem-solving and solutions, using cultural awareness to advise team on communications and negotiations
Qualifications and Experience...
Bachelor’s degree in Business, Management, Real Estate or Finance preferred, or an equivalent combination of skills, training and proven experience. Experience in business planning within a facilities and real estate arena is a plus
Advanced degree, certification or additional professional training a plus – particularly within Corporate Real Estate industry (MCR, etc)
A solid understanding of budget management and real estate accounting principles preferred. Strong proficiency in spreadsheet and other data analysis techniques are required
Critical thinker and strong problem solver with excellent written and verbal communication skills; ability to frame issues, articulate findings and present optimal solutions
Ability to gain consensus, communicate policy, build relationships and create systems for managing data needed to perform above responsibilities in a timely, effective and cost-efficient manner
Ability to work independently/proactively and produce excellent results in a highly dynamic work environment. Must demonstrate proficiency in working collaboratively and cross-functionally within the organisation and the business to execute tasks under tight deadlines, demonstrating sound “relationship management” skills both within and external to the organisation
Experience establishing and implementing effective business processes and procedures, related to facilities, space planning, and portfolio management
A high level of initiative, customer focus and aptitude for learning.
Must be exceptionally organised, structured, methodical, and attentive to detail
Excellent written and verbal communication skills demonstrated through clear and concise reports, meetings and calls and one-on-one dialogue. Must have strong presentation skills as well and represent the organisation with poise, professionalism and confidence
Professional conduct and ability to manage sensitive/confidential information is a must
